Job Title: HR & Administration Coordinator Department: Administration Reports to: Operations & Administration Manager Location: Sulaymaniyah, Kurdistan Region, Iraq Responsibilities, Duties, and Accountabilities: • Manage the recruitment process, including preparing job descriptions, screening and shortlisting candidates, scheduling interviews, coordinating candidate communication, and preparing job offers. • Managing payroll preparation, including attendance tracking, overtime calculation, and monthly incentive calculations. • Monitor employee contracts, visas, and work permits, and ensure timely renewals. • Maintain and update employee records in both physical and digital formats. • Implement and analyze employee surveys, performance appraisals, and exit interviews. • Prepare and distribute HR-related documents such as employment contracts, letters, and official communications. • Develop and update HR policies, templates, and internal documentation. • Respond to employee HR-related inquiries and document actions taken when required. • Stay up to date with HR best practices and labor regulations. • Maintain a digital archiving system for licenses, approvals, contracts, and official documentation. • Coordinate with legal representatives regarding governmental procedures, licenses, and compliance matters. • Schedule meetings, interviews, training sessions, and internal events. • Manage day-to-day office operations to ensure an organized, safe, and efficient workplace. • Manage projects based on the Medical Complex’s needs, such as opening new departments, setting up clinics, and leading internal events. • Oversee preventive and corrective maintenance of the building and facilities. • Manage and oversee procurement activities, including purchasing processes, warehouse management, and asset tracking. • Supervise support staff, including HR Officer, drivers, security personnel, IT staff, logistics officers, and cleaners. • Collaborate with operational and administrative departments to support the overall activities of the Medical Complex. • Ensure compliance with internal policies, safety regulations, and facility standards. • Prepare reports related to HR, maintenance, operations, logistics, procurement, and inventory as required. • Perform any other duties assigned by the Line Manager.
