Roles & Responsibilities
**Role Purpose**
We are looking for a highly analytical and detail-oriented Payroll Specialist who is passionate about numbers, payroll accuracy, systems, automation, and data management. The ideal candidate enjoys working with large sets of data, optimizing processes through technology and AI tools, and ensuring employees are paid accurately and on time.
This role requires a strong understanding of payroll operations, advanced Excel skills, system proficiency, and the ability to manage confidential information with professionalism and integrity. The candidate should also be people-oriented, approachable, and capable of supporting employees with payroll-related queries efficiently.
**Key Responsibilities**
Payroll Management
* Process end-to-end payroll accurately and within defined timelines.
* Maintain payroll records including salaries, allowances, deductions, overtime, leave, and EOSB.
* Ensure payroll compliance with company policies and labor regulations.
* Coordinate with HR, Finance, and employees regarding payroll inputs and validations.
* Handle payroll reconciliations and generate payroll reports for management review.
* Manage final settlements, leave encashments, and employee benefits calculations.
Data & Reporting
* Analyze payroll data and identify discrepancies, trends, and process improvement opportunities.
* Prepare monthly, weekly, and ad-hoc payroll reports and dashboards.
* Maintain accurate employee master data within HRMS/payroll systems.
* Ensure high levels of data integrity, confidentiality, and accuracy.
Systems & Automation
* Work with biometric attendance systems.
* Utilize advanced Excel functions (Pivot Tables, VLOOKUP/XLOOKUP, formulas, dashboards, data validation, etc.).
* Identify opportunities to streamline payroll workflows and reduce manual processes.
Employee Support
* Act as the point of contact for payroll-related employee queries.
* Provide clear explanations regarding salaries, deductions, leave balances, and benefits.
* Coordinate with internal departments to resolve payroll discrepancies promptly.
Compliance & Audit
* Maintain payroll documentation and audit-ready records.
* Support internal and external payroll audits.
* Ensure compliance with statutory requirements, labor laws, and company policies.
**Required Skills & Competencies**
