5 Team – Events, Exhibition Fabrication & More is a leading event production and exhibition builder based in Dubai. We specialize in end-to-end solutions—from creative concept and 3D design to full-scale workshop fabrication (wood, steel, acrylic, paints), on-ground event management, and complex structural installations. **Job Overview** We are seeking a detail-oriented, fast-paced, and highly proactive **Procurement Officer** to join our production team. In this role, you will be responsible for sourcing, purchasing, and managing materials, equipment, and sub-contracted services required for custom exhibition stands, event activations, and interior fit-outs. Because exhibition build-ups run on strict, non-negotiable timelines, you will ensure all materials (MDF, timber, metals, acrylics, paints, electricals, printing, AV, and staging gear) are acquired on budget, to specification, and delivered on schedule to our workshop and venue sites (e.g., DWTC, ADNEC, local malls). **Key Responsibilities & Duties** **1. Sourcing & Purchasing** * Source high-quality raw materials for workshop fabrication, including MDF, plywood, steel, acrylics, spray/water-based paints, laminates, and hardware. * Procure specialized technical elements: Audiovisual (AV) equipment, specialized event lighting, trussing, furniture rentals, and branding graphics/printing. * Review CAD/AutoCAD drawings and project Bill of Quantities (BOQs) provided by designers and project managers to calculate material requirements accurately. * Negotiate best prices, commercial terms, credit facilities, and delivery schedules with local and international suppliers. **2. Vendor & Subcontractor Management** * Build, evaluate, and maintain a robust matrix of reliable local vendors, timber merchants, paint suppliers, freight forwarders, and specialized sub-contractors (e.g., MEP, large-format printers, structural engineers). * Issue Purchase Orders (POs) promptly and maintain meticulous records of supplier contracts, quotations, and warranties. * Monitor supplier performance continuously based on cost, quality, lead times, and reliability under tight deadline pressures. **3. Logistics & Site Coordination** * Coordinate transport, logistics, and delivery of raw materials to the 5 Team carpentry workshop. * Manage just-in-time delivery of finished fabricated structures and rented assets directly to event venues (e.g., Dubai World Trade Centre, hotels, outdoor venues). * Handle venue access passes, gate passes, vehicle permits, and customs documentation required for event build-ups across the GCC region. **4. Cost Control & Inventory** * Benchmark prices regularly to achieve cost savings without compromising quality or safety standards. * Track project-by-project material expenditures against allocated production budgets, reporting any variances to the Project Manager. * Maintain optimal inventory levels of common workshop consumables (screws, glues, tools, paints, general timber) to avoid work downtime. **Qualifications & Requirements** * **Education:** Bachelor’s degree in Supply Chain Management, Business Administration, Civil/Mechanical Engineering, or a related field. * **Experience:** 3–5 years of proven procurement/purchasing experience **specifically within the Events, Exhibition Fabrication, Interior Fit-out, or Carpentry sectors** in the UAE/GCC region. * **Technical Knowledge:** * Strong familiarity with carpentry raw materials (MDF, HDF, solid wood, veneers, laminates). * Sound understanding of event finishes (paints, acrylics, vinyl wraps, LED signage) and technical setups (AV, staging, lighting). * Ability to read and interpret 3D visual renders, AutoCAD layout drawings, and technical BOQs. * **Skills:** * Exceptional negotiation and commercial contract skills. * High stress tolerance and ability to thrive under rapid, event-driven timelines. * Proficiency in ERP systems (e.g., Zoho, Odoo, SAP) and MS Excel. * **Licensing:** Valid UAE Driving License is strongly preferred.
